Vendon Telemetry Integration with Odoo
Client Overview
The client operates a network of 7 vending machines connected to Vendon.net for telemetry, sales tracking, and machine-level inventory data.
While Vendon provided machine-level visibility, the client lacked a centralized ERP system to manage forecasting, purchasing, and inventory optimization.
Most operational decisions were being handled manually using Excel spreadsheets, which resulted in inefficiencies and errors.
Challenges
The client was facing multiple operational challenges:
Inventory planning was manual and error-prone
No automated forecasting based on actual sales data
Frequent stock-outs on fast-moving products
Overstocking of slow-moving or discontinued items
No automatic purchase order creation
Difficulty managing expired, damaged, and duplicate products
Lack of synchronization between Vendon data and internal inventory records


Project Objectives
The goal of this project was to:
Centralize vending machine inventory management in Odoo
Automate sales, stock, and refill synchronization from Vendon
Implement sales-based forecasting
Automate purchase order generation
Ensure accurate, clean, and auditable inventory data

Warehouse Setup
Each vending machine must have a dedicated warehouse/location in Odoo to track stock individually.
Master Warehouse
A central master warehouse was required to manage total inventory and supply vending machines.
Vendon Telemetry Integration
Vendon API integration to synchronize:
• Vending machines
• Products and categories
• Sales transactions
• Refill operations
• Real-time inventory levels
Forecasting
Sales-based forecasting using historical Vendon sales data.
Automated Purchase Orders
Automatic purchase order generation based on minimum and maximum stock rules.
Inventory Cleanup
Systematic handling of:
• Expired items
• Damaged goods
• Discontinued products
• Duplicate products
• Private/internal use items

Infranext implemented a fully automated Odoo-based solution integrated directly with Vendon Telemetry APIs.
System Architecture
• One Master Warehouse configured in Odoo.
• Individual internal stock locations for each vending machine.
• Automated stock transfers between master warehouse and machines.

Vendon API Integration
A custom Vendon API client was developed inside Odoo that:
• Securely connects to Vendon using token-based authentication.
• Fetches machines, products, sales, refills, and stock data.
• Runs scheduled background jobs with locking to avoid duplication.
• Processes data in chunks for performance and reliability.
Product & Category Synchronization
• Vendon products are automatically created and updated in Odoo.
• Vendon tags are mapped to POS and product categories.
• Discontinued products are automatically archived.
• VAT rates are dynamically created and applied.
Sales Automation
• Every Vendon vend creates a sales order in Odoo.
• Stock is deducted from the correct vending machine location.
• Deliveries are automatically validated.
• Sales history is preserved for forecasting.
Refill & Internal Transfers
• Vendon refill data creates internal stock transfers.
• Stock moves from Master Warehouse to vending machine locations.
• Net refill quantities are calculated automatically.
Inventory Accuracy & Reconciliation
• Real-time on-hand quantities are synchronized from Vendon.
• Forced inventory corrections ensure data accuracy.
• Obsolete products are automatically removed from machine stock.
Forecasting & Purchase Automation
• Historical sales data feeds Odoo forecasting.
• Minimum/maximum rules trigger automatic purchase orders.
• Purchasing decisions are fully data-driven.
Monitoring & Alerts
• Automated anomaly detection for vending machines.
• Alerts for suspicious cash or cashless transaction patterns.
